The protection of personal data is of utmost concern to us. Canon Production Printing is therefore committed to protect your personal data in accordance with European General Data Protection Regulation (“GDPR”) and the respective national data protection and privacy laws and regulations.

This privacy statement (“Privacy Statement”) covers the use of personal data and information, provided by you to the Canon Production Printing Online Recruitment System used by any company belonging to the Canon Production Printing Group companies (“Canon Production Printing”). This Privacy Statement shall provide you with information on the processing of your personal data by Canon Production Printing, its employees and its partners.

By clicking the box and submitting your personal details to our Online Recruitment System, you agree that Canon Production Printing (including any of its third party service providers and/or data processors) processes your personal data for the purpose set forth herein and in accordance with this Privacy Statement.

Scope of this Privacy Statement

This Privacy Statement covers any category of personal data that you submit digitally through our Online Recruitment System, by email, regular mail, meeting tool (e.g. MS Teams) or analogue via direct handover or postal service,:

  • Name, address, telephone number, email address ;
  • Log-in, password and other such information used in connection with your authentication when applying via the Online Recruitment System;
  • CV/resume, cover letter, documents and their content related inter alia to previous work experience, education level, competences, and skills;
  • data informing on your health and fitness for the job, only when essential for the offered vacancy.

If you provide us with contact details of a reference or any other third party as part of your CV/ resume, it is your responsibility to have duly obtained prior consent from the respective third party that we may establish contact. By submitting such contact data, Canon Production Printing will assume that you have obtained such consent.

Details of Processing your Personal Data

Canon Production Printing processes your personal data based on legitimate interest (art. 6 lid 1 sub (f) GDPR) and for the purpose of processing your application for a potential employment with a Canon Production Printing company and to manage Canon Production Printing’s resourcing and recruitment activities, as well as for organizational planning purposes to fill vacancies across the Canon Production Printing Group.

Canon Production Printing may collect personal data directly from you as a candidate, as well as other information sources that are publicly available.

As it is prohibited under EU Regulations 2580/2001 and 881/202 (Antiterrorism-Regulations) that any person involved in business transactions provide to certain persons, groups and organizations monies and other economic values of any kind, we have a legitimate interest in checking your data with EU-Antiterrorism-lists.

Due to the set-up of the Online Recruitment System, we require your upfront consent to be able to store your personal data in the system. We will delete your personal data, if and so far the data are not relevant anymore for the above purpose or upon a maximum period of twelve (12) months after the recruitment process has been completed, unless you provide explicit approval to store the data for recruitment purposes for a prolonged period exceeding the first twelve (12) months.

We do not apply automated data processing methods in order to make decisions or otherwise use your data for profiling services.

Transfer of Personal Data

Canon Production Printing works with third parties, which we specifically engage to support us during the recruitment process. Canon Production Printing enters into relevant data processing agreements with any of these third parties and takes appropriate technical, organizational, and legal measures to secure your personal data.

Your Rights

According to the GDPR you have several rights in respect of the processing of your personal data (art. 15 -22 GDPR).

You have the right to receive information regarding your personal data that is processed by us at any time. You also have the right to restrict, block or delete your personal data.

It is your responsibility to ensure that you submit true, accurate and complete information to us and keep the data up to date. You may update your personal information at any time.

You can withdraw your consent for the retention at any time with effect for the future by notifying us (see Contact Details hereunder).

You have the right to object at any time to the processing of your personal data. We will then no longer process your personal data, unless we can demonstrate that there are compelling legitimate grounds for the processing, which override your interests, rights and freedoms, or the processing serves the establishment, exercise or defence of a legal claim.

You may file a compliant, if you are of the opinion that we have not complied with the rules for the processing of your personal data.

To exercise one of these rights, you may contact us via the contact details hereunder. We shall reply to your request within thirty (30) days. You may also file a complaint at your local Data Protection Authority.

Canon Production Printing endeavors to use appropriate measures (having regard also to the nature of the personal data involved) to prevent and minimize security risks in connection with your use of our systems and services. Canon Production Printing may also take appropriate back-up copies and use other such means to prevent accidental damage or destruction to your personal data and to ensure that our services are functioning properly.

Compliance check Canon Production Printing

In accordance with EU regulations, it is prohibited to make funds or economic resources available, directly or indirectly, to or for the benefit of the natural or legal persons, entities or bodies listed on the sanctions list. The effect of these detailed prohibitions is that, in addition to business contacts, employees, and in particular job applicants, fall within the scope of the EU Regulations. The payment of salary, as a provision of money to listed persons, is prohibited in the EU and is sanctioned as a breach of the embargo. Screening of employees is a legal obligation under the EU embargo regulations; this check is no violation of the GDPR.

Filing a Complaint

You may lodge a complaint with the data protection officer via the indicated Email-address or separately with a supervisor authority.

Amendments to this Privacy Statement

We reserve the right to make amendments to this Statement. The latest version is always uploaded in our Online Recruitment System.
